Roles & Permissions

Your employee role must have the View Roles Hub permission to view the Roles tab of Admin Setup. See "Roles & Permissions".

Use the Roles tab of the Admin Hub to define permissions for employees. In TSD DEALER, there are three (3) employee roles:

  • Low (equivalent a Valet Cashier or Porter)
  • Medium (equivalent to a Service Advisor)
  • High (equivalent to Master Access or Manager)

Glossary of permissions

Agreement Permissions

Agreement Void

Employee roles with this permission can void an agreement. See "Void and unvoid an agreement".

Allow Modify Agreement Rate

Employee roles with this permission can do the following on appointments and agreements:

  • edit individual rate and fuel charge amounts (during the appointment or agreement process, before the agreement is closed or a payment is processed).
  • edit individual mileage charge amounts (at close agreement only).
  • edit individual fee amounts and remove fees (during the appointment or agreement process, before the agreement is closed or a payment is processed); this includes fees that were newly-added after an agreement was closed. (A separate permission, Allow Opt-Out of Charges, is required to add fees.)

Allow Opt-Out of Charges

Employee roles with this permission can:

  • add additional fees during the appointment or agreement process, including after an agreement is closed. (A separate permission, Allow Modify Agreement Rate, is required to edit and remove fees.) See "Add, edit, and remove fees" for more information.
  • select the Bill Violation Charges  toggle on agreements (Charge Violations to Customer on mobile), for locations with Toll Processing. See "Credit Card Processing" for more information.

Allow Override Credit Card Capture

Employee roles with this permission can open an agreement without capturing a credit card, even when the Credit Card Capture Required at Open Agreement management setting is turned on for the location.

Additionally, for employees with this permission, the Bill Violation Charges  toggle (Charge Violations to Customer on mobile) is cleared on an agreement, by default.

Close Agreement

Employee roles with this permission can close an agreement. See "Close an agreement".

Close Shuttle Agreement

Employee roles with this permission can close a shuttle agreement. See "Close a shuttle agreement".

Edit Agreement

Employee roles with this permission can edit an agreement. See "View and edit an agreement".

Edit Shuttle Agreement

Employee roles with this permission can edit a shuttle agreement. See "Shuttle Agreements".

Exchange Unit

For locations at which unit exchanges are available, employee roles with this permission can exchange an assigned unit on an agreement with a replacement unit.

Open Agreement

Employee roles with this permission can open an agreement.

Open Shuttle Agreement

Employee roles with this permission can open a shuttle agreement. See "Open a shuttle agreement".

Unvoid Agreement

Employee roles with this permission can unvoid an agreement. See "Void and unvoid an agreement".

View Agreement Hub

Employee roles with this permission can access the Agreement Hub. See "Agreement Hub Overview".

View Shuttle Agreement Hub

Employee roles with this permission can view shuttle agreements on the Agreement Hub. See "Shuttle Agreements".

Allow Save Credit Card to Customer Profile

For locations with Credit Card Processing, employee roles with this permission can view and select the Save Credit Card to Customer Profile option after adding a credit card so it can be used on the customer's future appointments and agreements. See "Capture a Credit Card" for more information.

Allow Override Insurance Verification

For locations using Insurance Verification integration in which insurance verification is set to be required on agreements, employees with this permission can bypass this verification requirement on the agreement using the OVERRIDE VERIFICATION button.

Company Information Permissions

Edit Company Information

Employee roles with this permission can edit company information on the Company Hub (Company tab of Admin Setup). See "Find, view & edit locations".

View Company Hub

Employee roles with this permission can view the Company Hub (Company tab of Admin Setup). See "Admin Hub & Locations (Company Tab)".

Employee Permissions

Add Employee

Employee roles with this permission can add new employee records on the Employee Hub (Employees tab of Admin Setup). See "Add a new employee".

Edit Employee

Employee roles with this permission can edit employee records on the Employee Hub (Employees tab of Admin Setup). See "Search for employee records".

Employee Import

Employee roles with this permission can import employee records on the Employee Hub (Employees tab of Admin Setup).

View Employee Hub

Employee roles with this permission can view the Employee Hub (Employees tab of Admin Setup). See "Employee Hub".

Display Alerts

Employee roles with this permission can view TSD DEALER alerts on the Alert Panel (ALERTS button) or via email and/or text, as set up in the Alerts Hub setting. See "Alerts: Alerts Panel & Email Alerts".

Fleet Permissions

Add Fleet

For locations that can manually add units, employee roles with this permission can manually add a unit record to the fleet. See "Add a new unit (manually)" or "Add a unit (manually)" in the Mobile Fleet Management topic.

Edit Fleet

Employee roles with this permission can edit a unit record and return a removed unit to the fleet. Additional fleet permissions may be required to edit certain information.

Edit License Plate

For roles that already have permission to Edit Fleet, this permission grants access to edit a unit's license plate information (License Plate, Plate Expiration, Country, and State).

Edit Turnback Date

For roles that already have permission to Edit Fleet, depending on your manufacturer's restrictions, employee roles with this permission can edit a unit's Turnback Date on a unit record.

Edit Turnback Miles

For roles that already have permission to Edit Fleet, employee roles with this permission can edit a unit's Turnback Miles on a unit record.

Fleet Import

For locations that can manually add units and have the Fleet CSV Import tool enabled, employee roles with this permission can use the Fleet CSV Import tool to add multiple unit records at once. See "Fleet CSV Import".

Fleet Status

Employee roles with this permission can change a unit's status while editing a unit record.

Inspection

Employee roles with this permission can perform an inspection on a unit and mark damage on the vehicle diagram.

Remove From Fleet

Employee roles with this permission can manually remove a unit from the fleet via the Remove From Fleet button on a unit record.  

Note: A separate permission, Edit Fleet is required in order to return a unit to the fleet.

Remove From Fleet (Feed)

For locations with automated fleet import, employee roles with this permission can remove a unit from the Pending Import Details fleet feed, and restore a unit to the fleet feed.

View Fleet Hub

Employee roles with this permission can view the Fleet Hub (Fleet tab of the Home page).

Access to Map

For locations with Connected Car integration with GPS location allowed, employee roles with this permission can view GPS information of Connected Car units.

General Permissions

Operations

Employee roles with this permission can view the Operations dashboard on the Search Open, Customer, Appointment, Agreement, and Fleet tabs of the Home page

Performance

Employee roles with this permission can view the Performance dashboard on the Search Open, Customer, Appointment, Agreement, and Fleet tabs of the Home page.

View Dashboard

Employee roles with this permission can view the Search Hub and tabs on the Home page, depending on View Customer Hub, View Appointment Hub, View Agreement Hub, and View Fleet Hub permissions. Employees that also have the Operations and Performance permissions can view operations and performance dashboards, respectively.

Reports

Employee roles with this permission can view TSD DEALER system and custom reports, accessible via the REPORTS button.

Add Custom Report

Employee roles with this permission can create a new custom report with TSD DEALER's Report Builder.

Edit Custom Report

Employee roles with this permission can save updated criteria for an existing custom report created with TSD DEALER's Report Builder.

Edit System Report

Employee roles with this permission can run certain system reports and save custom versions of the reports under a new name, then modify those custom reports in the Report Builder. The following reports can be edited and saved as custom reports: Full Inventory and Utilization reports.

Management Permissions

Edit Dealership/Location Management

Employee roles with this permission can edit a management setting on the Management Hub (Management tab of Admin Setup).

Manage Third Party Agreement Providers

Employee roles with this permission can edit the Agreement Third Party Providers management setting to add new third party providers, for locations using a Third Party service for agreements.

View Management Hub

Employee roles with this permission can view the Management Hub (Management tab of Admin Setup).

Customer Permissions

Create New Customer

Employee roles with this permission can add a new customer record on the Customers Hub (Customer tab of the Home page).

Customer CSV Imports

Employee roles with this permission can use the Customer CSV Import tool on the Customer Operations Dashboard (Customer tab of the Home page), or on the Company tab of Admin Setup.

Edit Customer

Employee roles with this permission can edit a customer record on the Customers Hub (Customer tab of the Home page).

Flag Customer

Employee roles with this permission can click Flag on the side panel of a customer record to attach a warning message to the record.

Override Minimum Age Restriction

For locations that have the Allow Override of Customer Minimum Age on Agreements management setting turned on, employee roles with this permission can override the Customer Minimum Age setting when creating an appointment or agreement by clicking OVERRIDE and confirming his or her user name and password credentials.

View Customer Hub

Employee roles with this permission can view the Customer Hub (Customer tab of the Home page).

View Restricted Customers Report

Note: This permission is only available to be turned on for High roles. It is unavailable for Low and Medium roles.

High employee roles with this permission can view the system-level Do Not Loan Report.

Appointment Permissions

Create New Appointment

Employee roles with this permission can create a new appointment.

Cancel Appointment

Employee roles with this permission can cancel an appointment.

Edit Appointment

Employee roles with this permission can edit an appointment record. See "Search for an appointment".

View Appointment Hub

Employee roles with this permission can view the Appointment Hub (Appointment tab of the Home page). See "Appointment Hub".

Roles Permissions

Edit Roles

Employee roles with this permission can edit the permissions associated with roles on the Roles Hub (Roles tab of Admin Setup).

View Roles Hub
